How to Create a Workflow for Providing Extra Labels for an Item

Overview


The Print extra labels for an item feature in AfterShip Returns enables you to produce the necessary number of labels for large or heavy items being returned in a single order. By leveraging workflows, you can automate the generation of extra labels for products that exceed size or weight limits and need multiple packages for shipment. This functionality further aids merchants in efficiently manage returns of oversized or overweight items, resulting in time and cost savings.


What you’ll learn


In this tutorial, we will show you:



Set up a workflow for printing multiple labels for the same RMA


  1. Go to Return labels > Print extra labels for an item > Manage under ** Returns shipping ** in the AfterShip Returns admin



  1. Click on Create workflow to configure a new workflow
  2. To edit any existing workflow, from the right-hand drop-down under Print additional labels choose Edit workflow


  • To access different workflow types, switch between tabs


  1. You will see four templates on the popup window > Select Print extra labels for an item > Click Create



Set up workflow triggers


  1. After clicking on Create, you will land on the New workflow editor page, where you will be asked to select the trigger to activate the workflow.
  2. You can choose to activate the workflow when all conditions are met or if any of the conditions are met by simply selecting one of the options.
  3. Move on to Add conditions > set up conditions like Product type, Product tags, and SKU for which the multiple label generation workflow will automatically activate.


You can select between


A. TRUE if All conditions are met. This setting is an AND statement that will trigger the corresponding action when all conditions are met.

B. TRUE if Any condition is met. This setting is an OR statement that will trigger the corresponding action when any defined conditions are met.



  1. Select the number of labels that are required for the item under Label quantity.
  2. Select the product weight distribution for each label under Package weight



  1. Click Save draft if you wish to come back for further changes
  2. Click Enable to save and activate the workflow right away



RMA management


Case 1: For merchants


  • Head over to the Returns dashboard > Click on any of the pending return requests
  • Scroll down to the two options asking if you want to Reject or Approve the RMA request



  • Once you approve the request, you will see two options. Select Generate label with AfterShip Returns > Generate label
  • If the request meets the pre-defined conditions of generating multiple return labels, you will see labels for each returned item in the RMA
  • Click Submit > your customers will receive an email with all the return labels
  • An error message along with the reason will appear in case there is a problem generating any label



  • Once the return request is approved, and the labels are successfully generated, the merchants can see all the labels on the detailed RMA page



Please bear in mind that you can approve the return request only if all the labels are generated successfully.


Case 2: For shoppers


  • Once the merchant approves the return request, the return status page will be automatically updated with the return labels for the items that the shopper wishes to return



  • The shopper will also receive an email with shipping instructions and the corresponding labels for the returned items



Supported platforms


Print additional labels template is available for users on Premium and Enterprise plans. The availability of certain conditions and actions varies from one eCommerce platform to another.


  1. Product tag conditions are available for Shopify, Magento 1, and WooCommerce
  2. Product type conditions are available for Shopify, Magento 1, 2, and BigCommerce
